About the role

We are looking for a Senior Administrative Assistant for our growing team! This position will be based out of our Toronto, Ontario or Montreal, Quebec office locations and will require the successful candidate to attend in office 2 days a week.

What you’ll do here:

  • Provide administrative support for the proper functioning of the department (inventories, equipment, purchases, maintenance, reservations, etc.).
  • Integrate and assist with new employees onboarding tasks including requesting systems access, ordering equipment, employees and treating all information as confidential.
  • Maintain the email distribution lists, schedule meetings and calendar invites and meeting rooms for staff including Senior Directors and Vice Presidents.
  • Manage the approval of meeting room requests via outlook.
  • Compose and answer routine correspondences including providing assistance and information to appropriate staff and contributors or routing questions to the appropriate staff.
  • Assist with sending communications and announcements to team members.
  • Assist as needed with additional aspects involving building maintenance, office equipment maintenance, I.T. contacts, telephone systems, annual membership payments, and assisting senior management and teams with coordinating staff meals and gift as required.

What you Bring to the table:

  • At least 5 years of experience.
  • Intermediate to Advanced knowledge of the Microsoft Office suite (Outlook, Excel, Word, and PowerPoint)
  • Ability to multi-task and adapt to immediate needs and requests
  • Strong communications skills and time management
  • No work experience in Canada required, but you must have authorization to work in Canada.
