We are looking for a driven, energetic administrative coordinator to support senior level staff and the Center of AI. This individual would organize and execute work to support the national security mission within the National Security Directorate. This is a full-time position requiring a regular schedule of 40 hours in a 5- day (Mon-Fri) work week. The administrator will be expected to be onsite in Richland at least 3 days out of the week. This position offers the opportunity to demonstrate impact, collaboration, and creativity. 

Responsibilities

We’re currently looking for an administrative coordinator to be a supportive force who empowers our senior leadership in the newly formed Center for Artificial Intelligence (AI). The ideal candidate will be a self-starter, proactive problem solver who possess exceptional communication skills. This person should have experience working in an office environment, performing administrative duties, and providing support to senior managers. Given the dynamic nature of our business we are seeking an individual that is flexible, has meticulous attention for details, and a can-do attitude. This position will directly support up to two senior technical staff in the Center for AI. Specific administrative duties and expectations include, but are not limited to, the following: 

  • Possesses good customer service skills and regularly functions in a high-paced environment with conflicting priorities.
  • Maintains contact with staff and all levels of management both within and outside of PNNL.
  • Has the experience and skill to communicate with senior executives inside and outside of PNNL.
  • Works autonomously and is a self-starter requiring only general instructions on new assignments of a complex nature.
  • Ability to effectively manage email and maintain multiple calendars and constantly changing priorities.
  • Working knowledge of departmental and company policies, procedures, and practices including travel, purchase requisitions, expense reimbursement.
  • Prepares, proofreads, and edits written correspondence and documents.
  • Plans, coordinates and executes the logistics for high level events, including meetings or workshops for at least 25 - 50 attendees.
  • Coordinates complex travel for employees and visitors.
  • Communicates with a wide-variety of PNNL staff and clients of all levels; resolve and/or advise management on a wide range of administrative issues; provide training and guidance to less senior or new staff when necessary.
  • Exercise a high degree of sensitivity and confidentiality when dealing with business and personnel information, events and activities.

Qualifications

Minimum Qualifications:

  • High school diploma/GED and 6 years of relevant experience in an administrative environment -OR-
  • AA degree or higher and 4 years of relevant experience in an administrative environment
  • Experience in planning meetings and coordinating travel

Preferred Qualifications:

  • Proficiency with Microsoft Office.
  • Strong written and oral communications skills.
  • Familiarity with office support functions and ability to effectively apply procedures, and direct and delegate workflow of others as appropriate.
  • Previous office management experience with a high level of organization.
  • Working knowledge of the business systems and requirements at a national laboratory or DOE
  • Experience working in a classified environment.
  • Ability to take initiative with little direction and a creative thinking and problem solver.

Additional Information

This position requires the ability to obtain and maintain a federal security clearance.

* Background Investigation: Applicants selected will be subject to a federal background investigation and must meet eligibility requirements for access to classified matter in accordance 10 CFR 710, Appendix B.

*Drug Testing: All Security Clearance positions are Testing Designated Positions, which means that the candidate selected is subject to pre-employment and random drug testing. In addition, applicants must be able to demonstrate non-use of illegal drugs, including marijuana, for the 12 consecutive months preceding completion of the requisite Questionnaire for National Security Positions (QNSP).

Note: Applicants will be considered ineligible for security clearance processing by the U.S. Department of Energy until non-use of illegal drugs, including marijuana, for 12 months can be demonstrated.

Testing Designated Position

This position is a Testing Designated Position (TDP). The candidate selected for this position will be subject to pre-employment and random drug testing for illegal drugs, including marijuana, consistent with the Controlled Substances Act and the PNNL Workplace Substance Abuse Program.
